Let a client build their own knowledge base by email
“Clients answer in pieces over a week, and by the time I have everything the useful parts are scattered across a thread nobody wants to re-read.”
A bundled workflow watches your inbox for the clients you list, files what each one sends under their name, keeps a knowledge base for them current, and replies asking for exactly what is still missing. It stops asking after three rounds and hands you the folder.
Connect the inbox
The Gmail connector is what the workflow watches. Nothing else needs setting up.
List the clients it should answer
One row per client on the canvas: their address, their company, their name, and the tone to write to them in. Mail from anyone else is ignored without costing anything.
Whatever they send gets read
Attachments are converted and filed under that client. A scanned PDF with no text in it has its pages rendered and looked at instead.
It works out what is still missing
The knowledge base is updated rather than rebuilt, then compared against the job the client asked for. What is missing goes back to them as a short, specific email in the tone you chose.
Each answer is folded in
The reply is filed and the knowledge base grows. Where a new answer contradicts an earlier one, both are kept with their dates so somebody can decide which stands.
Pick the work up complete
When it has enough, or after three rounds either way, it stops asking and assembles one folder: the knowledge base, the whole exchange as a PDF, and the questions it would have gone on asking.
What you end up with
One folder per client holding their knowledge base, the whole email exchange as a PDF, and a note listing what is still open and what to do next.
